ACE 2023 TERMS AND CONDITIONS:

• The CONGRESS REGISTRATION provides in-person OR virtual access to the live scientific program as well as sponsored sessions.

• Registration fees apply as per the date of payment and are non-refundable. Please note that all prices are in US dollars for international delegates. Local delegates may pay in Philippine Peso.

• Credit or debit cards, among other payment methods, can be used for registration (through Xperto). Payments made by check will not be accepted.

• Online registration will CLOSE on 22 September 2023. 

• STARTING 23 September 2023, late registration fee will be applied and should be paid in cash at the congress registration venue. 

• Delegates are required to display their Congress ID during their attendance to the scientific program.

• At the completion of your registration, a unique QR code will be sent to your email. Print this in order to claim your Congress ID onsite together with proof of identity. IDs are non exchangeable and cannot be resold.

• A delegate's registration payment covers attendance to all scientific events and food service during snack and lunch times. It does not include any other expenses like travel and accommodation.

• After the conclusion of the Congress, the participants will have access to the meeting platform until 26 November 2023.

• Certificates of attendance will be issued after the completion of a feedback form. After 25 December 2023, attendance certificates will no longer be issued.

CHANGES TO BOOKING

•  Requests for transfer of registration to another name will not be accommodated after registration. 

• Only contact details of the registrant may be modified (ex. Email address, affiliation, etc.)

 

CANCELLATION CONDITIONS

• Should the ACE 2023 organizers decide to make the Congress 2023 entirely virtual, delegates will be reimbursed the difference between their in-person registration cost and the online registration fee.

• Should the ACE 2023 Congress be canceled outright, delegates will be entitled to a full refund.

• ACE 2023 organizers will not be responsible for refunding any costs associated with travel or accommodation or any administration charges associated with the cancellation of travel or accommodation.

CONSENT FOR DATA PROCESSING

• Delegates who register for the Congress and related events provide information that is processed using a secured registration software and stored on a secured server.

• Data is processed in accordance with Philippine data protection legislation. Please visit https://www.privacy.gov.ph/data-privacy-act for full information.

• By registering to the event, you are consenting to being contacted by the Asian Society of Endometriosis and Adenomyosis (ASEA) and the Philippine Society for Reproductive Medicine (PSRM) regarding the event and your registration.

 

BEWARE OF FRAUDULENT WEBSITES

• Please be cautious while doing online registration and lodging bookings.

• Around the globe fraudulent or illegal websites have preyed on delegates in big events.

• These websites are frequently planned to mimic the official Congress website.

• Online registration for ACE 2023 is only available through the official Asian Congress on Endometriosis 2023 website https://www.ace2023manila.com/about-manila as managed by XPERTO http://app.xperto.ph/event/ace2023manila, and ACE 2023 organizers can only admit delegates who have registered and paid through the official ACE 2023 website.

• ACE 2023 organizers will make best efforts to report fraudulent websites to the authorities. Should a delegate make bookings via a deceitful website, the ACE 2023 organizers will not be responsible for such, as this is beyond their control.

VISA REQUIREMENTS 

• It is the responsibility of the delegate to determine the visa requirements for access into the Philippines and, if necessary, to apply for a visa in order to travel to and attend the Asian Congress on Endometriosis 2023. The organizers of ACE 2023 cannot be held responsible for visa applications that are denied or not processed on time. Please visit www.visa.gov.ph for more information.

• Only delegates who have paid their registration fees in full will be issued a visa invitation letter. Please send your request to ace2023manila.register@gmail.com.

• A letter of invitation is not an official invitation to pay fees or other costs. Only delegates attending the scientific program, and not accompanying visitors, are eligible to receive invitation letters.

PROTECTION PROVISIONS

• The ACE 2023 organizers highly recommended that each delegate secure their own insurance that will cover for travel, health to include coverage for Covid-19, personal belongings, and cancellation.

• ACE 2023 organizers will not be able to safeguard delegates against cancellation of bookings, cancellation or disruption of travel, or loss or damage to personal belongings.

• Should an unusual event occur that the Congress is canceled or postponed, any delegate's already paid travel and/or accommodation costs, as well as any administration charges connected to the cancellation of travel or accommodation shall not be the organizers responsibility.

THE ACE 2023 PROGRAM​

• Best efforts will be made to deliver the publicized scientific program.

• ACE 2023 organizers and its suppliers reserve the right to alter or cancel without prior notice any of the arrangements for reasons beyond ACE 2023 organizers reasonable control.

• ACE 2023 organizers and its suppliers are not liable for any loss or inconvenience caused as a result of such alterations.

• All scientific sessions will be conducted in English without interpretation. No other languages will be available.

GUIDELINES FOR CONDUCT

• ACE 2023 organizers encourage exchange of ideas and opinions among all Congress attendees.

• ACE 2023 organizers will not allow conduct that leads to harm, bias or disruption during the Congress, including the threat or use of physical force by any individual or group of individuals against person or property.

• ACE 2023 reserves the right to nullify a delegate registration and ID, which will result to non-entry to the Congress should a delegate disobey the guidelines for conduct. 

• The safety of the Congress participants will be the organizers’ priority. Issues regarding safety may be forwarded to the organizers.  
  We will respond to the situation as quickly as possible.

OTHER MATTERS

• By attending the ACE 2023, delegates grant permission to the organizers and partners to photograph, record, and store these files.

• Permission is likewise granted to publish, republish, or otherwise transmit still and moving images of them  during and after the Congress for any purpose related to ACE 2023 or partner activities.
